The Challenge

A school runs dozens of interlocking processes at once — admitting students, building class and exam timetables, taking daily attendance, entering marks and issuing report cards, collecting fees, paying staff, running a library, and keeping parents informed. Handled across registers, spreadsheets, and disconnected tools, this creates constant friction:

  • Data scattered everywhere — a student's admission, attendance, marks, and fees live in different books, with no single profile.
  • Timetabling and exams by hand — class routines, exam routines, mark registers, grade scales, and merit lists are slow and error-prone to produce manually.
  • Fee collection headaches — tracking who owes what, issuing receipts, and offering online payment is hard without a system.
  • Parents left out — guardians have no easy window into their child's attendance, results, or fees.
  • No remote learning — no built-in way to run online classes, quizzes, or homework.

The school needed one platform that handles the full academic and administrative lifecycle, opens portals and mobile apps to parents and students, and can be branded and localized as its own.

The Solution

Sunny Side International School runs on a comprehensive School Management System delivered as a dedicated instance of a multi-tenant SaaS platform. Built with a modular Laravel architecture, it covers the school end to end — student information, academic setup, attendance, examinations (offline and online), fee collection with online payment, accounting, HR and payroll, and library — and surfaces it through a public website, self-service parent and student portals, and JWT-secured mobile apps. Live classes run through Google Meet, communications go out over SMS and email, and the whole system speaks English, Arabic, and Bengali.

Feature Highlights

1. Student Information & Admissions

The central record for every student — profile, parent/guardian details, and category — with online admission straight from the public website, bulk promotion of students across academic sessions, and archiving of disabled/inactive students. One student, one profile, carried across every module.

2. Academic Setup & Timetabling

Configure the academic backbone: classes, sections, shifts, classrooms, subjects, and subject-to-class assignments, all under academic sessions. From this, the system generates class routines (timetables) and exam routines, with time schedules and periods.

3. Attendance

Daily student attendance by class and section, with charts and reports for administrators, staff attendance tracked separately under HR, and yearly attendance-percentage progress surfaced to students and parents in their portals and apps.

4. Examinations, Grading & Report Cards

A complete exam engine: define exam types, assign exams to classes, enter marks, and configure grade scales. From the marks it produces mark registers, grade registers, marksheets, merit lists, and progress/report cards — the manual paperwork of every exam season, automated and printable as PDF.

5. Online Examinations & Question Bank

Teachers build a question bank organized by topic and group, then create online exams and quizzes. Students take them from the web portal or mobile app, answers are auto-graded, and results flow straight into the student's record.

6. Fees Management & Online Payment

Set up fee types, groups, and masters, assign fees to students, and collect them with invoices and receipts, with due-fee tracking. Parents and students can pay online via Stripe or PayPal from their portals or the mobile app — with fee-collection and outstanding-dues reports for the office.

7. Accounting

An income-and-expense ledger with configurable account heads and account reports, so the school's finances live in the same system as its fees.

8. HR & Payroll

Manage departments, designations, and staff/teacher records with their own user accounts, track staff attendance, and run payroll with configurable earnings and deductions.

9. Library Management

Catalog books by category, register members, and handle book issue and return tracking — a self-contained library module inside the platform.

10. Parent & Student Portals

Self-service web portals for both audiences. Parents view their children's attendance, class and exam routines, subjects, marksheets, and pay fees online. Students see routines, subjects, results, and attendance, submit and view homework, take online exams, join live classes, and pay fees — all mirrored in the mobile app.

11. Live Online Classes (Google Meet)

Teachers schedule live classes via Google Meet, linked to a specific class, section, and subject, which students join directly from their portal — built-in remote learning.

12. Homework & Assignments

Teachers assign homework per class and subject; students access it from their portal and app, with completion tracked per student.

13. Certificates & ID Cards

Design and generate student and staff certificates and ID cards as PDFs — the routine documents a school issues constantly, produced on demand.

14. Communication — Notices, SMS & Email

Publish notices to a notice board and send SMS (via Twilio) and email using reusable templates, with full delivery logs — keeping students, parents, and staff informed automatically.

15. Public Website & CMS

A complete public school website with a built-in content management system: homepage sliders and sections, about and contact pages, FAQs, events, news, photo galleries, academic calendar, syllabus and lesson plans, downloadable forms, a newsletter subscribe, and a contact-message inbox. Online admission and enquiry forms on the site feed directly into the SIS.

16. Reports

A printable/PDF reporting suite spanning finance and academics — accounts, class and exam routines, marksheets, merit lists, progress cards, fee collection, and outstanding dues.

17. Multi-Tenant SaaS Platform, Roles & Localization

Under the hood, the product is a multi-tenant SaaS: each school runs in its own isolated database, provisioned through a web-based installer (with license verification) and governed by subscription plans with feature flags. A granular role and permission system covers super-admin, school admin, staff, accountant, teacher, student, and guardian. The platform is multi-language (English, Arabic, Bengali) and multi-currency, making it deployable and brandable for schools in different regions.

Technical Architecture

LayerTechnology
BackendLaravel 9, PHP 8, modular architecture (nwidart/laravel-modules)
Multi-tenancystancl/tenancy — per-school isolated databases, domain-based tenant routing
FrontendBlade admin theme (jQuery/Bootstrap), Vite; DomPDF for documents; Intervention Image
Mobile APIJWT-secured REST API (tymon/jwt-auth) for student/parent apps

Storage & securityAWS S3 (flysystem), reCAPTCHA
DataMySQL · 110 migrations · ~90 models across 10 domain namespaces

The system is organized into clean domain modules — Academic, Attendance, Examination, Online Examination, Fees, Accounts, HR, Library, and Student Info — each with its own models, controllers, and routes, on top of a SaaS tenancy layer that lets one codebase serve many schools.

Outcomes

  • The whole school in one system — admissions, academics, attendance, exams, fees, accounting, HR, and library, replacing a shelf of registers and spreadsheets with a single connected platform
  • Parents and students in the loop — self-service portals and mobile apps give families real-time visibility into attendance, results, and fees, and let them pay online
  • Remote learning built in — online exams, homework, and Google Meet live classes are part of the platform, not bolt-ons
  • Localized and brandable — English/Arabic/Bengali interface and multi-currency support make it a fit for the school's own identity and region
  • A scalable foundation — the multi-tenant SaaS architecture means the same platform can serve one school or many, each fully isolated

What's Next

  • Expanded mobile app coverage for parents and teachers alongside the existing student app
  • Deeper analytics dashboards across attendance, results, and fee collection
